How to Email a Supplier for a Wholesale Account (Templates)

To email a supplier for a wholesale account, keep it short, use your business email, and give the supplier what it needs to say yes: who you are, what you sell, where you sell it, and how much you plan to order. Below are three copy-ready templates and a phone script.

We are a wholesale supplier that works with Amazon sellers, so these templates are built around what we look for when a new request lands in our inbox.

What Suppliers Want to See in Your First Email

  • Your business name and state. It shows you are a real business.
  • Where you sell. Say “Amazon FBA” plainly. Suppliers that work with Amazon sellers prefer you are upfront.
  • What you want. Name the brands or categories.
  • Your documents. Mention that you have an EIN and a resale certificate.
  • A realistic order size. It helps the supplier decide whether you fit its minimum.
  • A business email and signature. A free personal email address is one of the fastest ways to get ignored.

Template 1: First Email to a Distributor

Subject: Wholesale account request: [Your Business Name]

Hi [Name],

My name is [Your Name], and I run [Business Name], a [state] business that sells [category] products on Amazon through FBA.

I would like to open a wholesale account and buy [brand names or category] from you. We have an EIN and a resale certificate and can send copies with your application.

We are planning a first order of around $[amount], with regular reorders on products that sell well. We follow brand pricing policies, including any MAP policy.

Could you send your application and current price list?

Thank you,
[Name] | [Business Name] | [Phone] | [Business email] | [Amazon storefront link]

Template 2: Follow-Up Email

Subject: Following up: wholesale account for [Business Name]

Hi [Name],

I am following up on my email from [date] about opening a wholesale account. We are still interested in [brands or category] and are ready to send our EIN and resale certificate.

Is there an application I should complete, or someone else I should contact?

Thanks,
[Name] | [Business Name] | [Phone]

Wait about a week before following up, and follow up once or twice at most.

Template 3: Email to a Brand

Use this when you want to buy from the brand directly or find out who its distributors are.

Subject: Wholesale inquiry from an Amazon seller: [Business Name]

Hi [Brand] team,

I run [Business Name], a [state] business selling [category] products on Amazon. Your products are a good fit for our customers.

Do you sell wholesale directly to retailers? If not, could you share a list of your authorized distributors?

We have an EIN and a resale certificate, and we follow brand pricing and listing policies.

Thank you,
[Name] | [Business Name] | [Phone] | [Business email]

What to Say When Calling a Wholesale Supplier

A call can get you a faster answer. Keep it under two minutes:

  1. “Hi, my name is [Name] from [Business Name]. I am calling to ask about opening a wholesale account.”
  2. “We sell [category] on Amazon through FBA. Do you work with Amazon sellers?”
  3. If yes: “What do you need from us to apply, and what is your minimum order?”
  4. “Great. What is the best email to send our EIN and resale certificate to?”

Write down the person’s name and send a short email straight after the call.

How to Contact Brands for Wholesale

Look for a “wholesale,” “retailers” or “become a stockist” link on the brand’s website, or use the contact form. If a brand only sells through distributors, ask for the list, then email those distributors using Template 1.

Finding brands to contact often starts on Amazon itself. Our guide to reverse sourcing shows how.

Why a Supplier Might Still Say No

Even a good email gets a “no” sometimes, often because of brand restrictions on Amazon sales. Read why wholesale suppliers reject Amazon sellers for the common reasons and how to fix each one.

Skip the Email

You do not need to email us: our application asks for everything above in one form. Apply for a wholesale account and we will send our price list once you are approved.
